What happens after registration?
Verify your email using the message sent to your inbox, then follow the company approval screen. Once your company is approved, the owner can set up buildings, room types, apartments, and staff access.
How should I organize buildings and apartments?
Create each building as a property. Add your own room types under it, then add the physical apartment codes belonging to each type. Keep virtual Overbooking rows separate; they do not increase the physical apartment count.
Why can a colleague see fewer pages than I can?
Access depends on their company permissions and plan. The owner can review staff permissions for reservations, availability, partners, and finance. Revenue access and finance access can be granted separately.
I forgot my password. What should I do?
Use Forgot password on the sign-in screen and enter the email associated with your account. Follow the reset email, then return to sign in.

Which booking sources can I import?
The import workflow supports specific CSV and XLS reports from Agoda, Booking.com, Expedia, and Trip.com. Upload the original downloaded file, choose the correct building, and inspect the preview. Other report layouts may need adjustment before they can be supported.
What should I check on a repeated upload?
Use the same building and source account reference. Review changed dates, statuses, cancellations, and amounts. Upload time alone does not prove a report is newer. Missing rows are not automatically cancelled.
Should each rate plan be a new room type?
No. Map variants such as a Studio non-refundable rate and a Studio flexible rate to your physical Studio type. Keep uncertain or mixed-room bookings unmapped until you can confirm their allocation.
What if the amount or room count is unclear?
Confirm what the reported amounts represent before using them as revenue. Keep unknown room counts unknown unless you have verified the report meaning. Unverified net amounts are identified in revenue reporting instead of silently treated as certain.

How do I move or upgrade a reservation?
Open the stay and choose Move / upgrade apartment, or drag an eligible booking to an available target. Review the destination. If its type differs, choose Upgrade or Room change and enter the required context before confirming.
Why is an apartment unavailable for a move?
The apartment must be available for the entire stay. Conflict checks include reservations hidden by your current filters. Archived or otherwise ineligible apartments may not be selectable.
What does a virtual Overbooking row mean?
It is a holding row for a booking that still needs a real apartment or a partner arrangement. It creates no physical inventory and cannot be marked as an upgrade.
Will an upgrade change the original booked type?
The original booked type remains visible alongside the current assigned type. The move record distinguishes upgrades from other room changes, so the team can understand why the assignment differs.
Partners & shared availability

How does Auto from stay calendar work?
It derives shared availability from the current calendar records and your configured room structure. You can set sharing limits and close selected dates to partners. Keep imports and apartment assignments current so the calculation reflects your operation.
Does a pending request hold inventory?
No. Requests and counteroffers do not hold a room. The system checks availability again at confirmation. A previously displayed room can become unavailable before the request is accepted.
Can different partners have different terms?
Yes. Set discounts, rate visibility, offer permissions, and Instant Take separately for each partner. Terms are directional: what you offer them can differ from what they offer you.
Where does an accepted partner stay appear?
A confirmed incoming partner booking is linked to a reservation and appears in the stay calendar. Its commercial agreement remains in Partner network, where relevant booking changes and payments are managed.
Revenue, expenses & payments

Which revenue basis should I use?
Check-in includes eligible booking value when arrival falls in the selected period. Check-out uses departure dates. Daily spreads eligible value over occupied nights, excluding the checkout day, and includes the nights inside your selected period. These are revenue views, not proof of money received.
How do monthly rent schedules work?
Set a monthly amount, first month, optional last month, and due day. Each generated month has its own expense and balance. Shorter months use their last day when needed. Pause a schedule to stop future generation; create a new schedule when the amount changes.
How do I split a bill across apartments?
Choose Selected apartments, select their building, and tick the physical apartments. The total is split equally with exact cent rounding. Choose Whole building or General company cost when an apartment split would not represent the expense correctly.
What can I upload for receipt reading?
Use a clear JPG, PNG, or WebP image up to 8 MB. Compare the suggested details with the receipt, correct anything missing or inaccurate, choose the allocation, and confirm. You can enter details manually when extraction is unavailable.
Does recording a payment create another expense?
No. A payment reduces the expense balance; the cost is counted once. Partner payments also stay linked to their agreement. Money is paid through your usual external method, not transferred by StayBridge.
Why is a building report called allocated contribution?
Some general company expenses or partner room costs have no local building allocation. The filtered report shows the costs attributable to that building and identifies excluded amounts separately. Compare the company-wide view when reviewing the overall result.
Market data & recommendations
Use comparable evidence and keep its limits visible.
How do I start collecting market observations?
Review your competitor listings and room mappings, then enter observations or import the supplied CSV format. A permitted automated feed can be configured by the administrator. Adding a listing URL alone does not connect a collector.
Why is a quote excluded from comparisons?
A precise comparison needs matching search conditions, known mandatory fees, a compatible room mapping, and suitable freshness. Incomplete observations may remain in history while being excluded from comparable market metrics.
Does unavailable mean the competitor is sold out?
It describes availability for that particular search, not the competitor's full inventory. An unknown quantity stays unknown, and collection failures are never treated as sold-out evidence.
What happens when I approve a recommendation?
StayBridge records your decision and its supporting reasons. Approval does not automatically change prices on OTAs or in your partner network. Apply any chosen rate through the appropriate selling channel.
